Please increase awareness of your participation in the Baby Bellies and Beyond Baby Show by promoting it on your website, social media and email newsletters. We have over an enormous amount marketing for this event, however, any additional effort to further promote the event would be appreciated. EXHIBITOR INSTRUCTIONS
PLEASE NOTE, WE DO NOT MANAGE ANY OF THE WIFI OR ELECTRICAL SERVICES FOR YOUR EXHIBIT SPACE. IF YOU REQUIRE THESE SERVICES, YOU MUST CONTACT US FOR DETAILS!
Order forms are typically included in the Exhibitor Kit that you will receive one week before the show date. Some of you may rely on your cellular devices for connection to process payments. If you have processed payments using your mobile/cellular devices, this should be sufficient for you t our events You may use your cellular device as a mobile WIFI hotspot to save you an average of $150 for WIFI services.
For those of you that elected the basic “DIY only” package, be sure to bring your own table, table cloth, chairs and any other equipment and materials you will need for your exhibit space.
There WILL NOT be any additional equipment available on the day of the show.
WHEN DO WE SET UP?
Please remember that exhibitor load-in begins at 9 AM on the show day and must be fully set-up with all debris, boxes and trash clear off the floor by 11:00 AM.
WHAT ARE THE SHOW HOURS?
Doors will open to VIP ticket holders at 11:30 AM and to the general public by 12:00 PM. The show shall end at the time of the last raffle prize/giveaway is distributed and the room is completely clear of all guests. There shall be no early break down until the “All Clear” has been given by show host. Unless you have a larger exhibit space, each exhibitor is provided an 8’ x 10’ exhibit space. Your entire display MUST be within your 8’ x 10’ space and MAY NOT extend into the aisle ways. Your space may be as large as a 10’x10′ and is completely contingent on the availability of space at each venue.
Please keep all of your exhibit space decor/materials within your designated booth space. Attendees will be told to disregard any business or individual that are NOT working within a booth. If you see any person(s) soliciting attendees and they are not an exhibitor at the show, notify us immediately and we will have security remove them from the premises.
REMINDER
There is ABSOLUTELY NO SHARING OF EXHIBIT SPACE or distributing collateral for any individual or business outside of your company/organization unless you have discussed with Baby Bellies and Beyond and were granted permission. This includes distributing business cards, flyers etc. for other companies. We will be vigilant in ensuring that only companies contracted to participate in this show may promote themselves with attendees. Any exhibitors violating this policy shall be banned from all future shows. Thank you for adhering to this strict policy.
HELIUM BALLOONS
YOU WILL BE HELD FULLY RESPONSIBLE FOR ANY “CLEAN UP” FEES FOR ANY HELIUM BALLOONS THAT ARE ACCIDENTALLY RELEASED IN THE HALL. The Center has a fee to retrieve helium balloons, which they will bill directly to the exhibitor responsible. You may bring helium balloons at your discretion.
FOOD/BEVERAGE SAMPLING
Any food or beverage samples provided by an exhibitor to attendees MUST BE APPROVED. Please contact the venue for additional details.
HOW TO ACCESS THE LOAD-IN DOCKS
All exhibitors will be required to load in thru the venue’s designated loading zones/docks. The venue is very strict and provides each vendor with 15-minutes to unload. Please unload, then proceed to park your car. You are not permitted to park in the loading area while you set-up your exhibit space. Vehicles left for long a duration may be towed at the venue’s discretion.
WHAT IS PROVIDED FOR OUR BOOTH?
Depending on what exhibitor package, DIY Exhibit Packages are bare “raw” exhibit space, unless you ordered a table, linen and or chairs and pipe and drape. We encourage you to bring additional items to decorate and brand your booth.
